1. Who we are

2. Information we process
Depending on how you use the service, we may process your ChatGPT account identifier and email address, linked Discord user ID and display name, club name, owner name, email address, VRChat display name and verification status, subscription provider, plan and billing status, club roster entries, announcements, settings, uploaded images, moderation status, access records and timestamps. Admins may also connect a VRChat checker account; the password is used for login and an encrypted session is stored for profile verification. We may also process technical request information needed to secure and operate the service.
3. Why we use it and our legal bases
We use this information to provide your club dashboard and feeds, authenticate account ownership, link Discord and VRChat, apply plan features, review uploaded content, prevent abuse, secure the service, respond to support requests, and comply with law. Our legal bases are performance of a contract or steps requested before a contract, legitimate interests in operating and securing the service, compliance with legal obligations, and consent where consent is specifically requested.
4. Integrations and recipients
We share or receive information with service providers needed to operate the product, including ChatGPT authentication and hosting/database providers, Stripe and PayPal for subscription checkout, Discord for optional sign-in and account linking, and VRChat for profile verification where you request it. We may disclose information where required by law, to protect rights and safety, or during a business transfer. We do not sell personal data.
5. International transfers
Some providers may process information outside the UK. Where UK data protection law requires safeguards, we aim to use an adequacy regulation, the UK International Data Transfer Agreement, the UK Addendum to EU standard contractual clauses, or another lawful transfer mechanism. Contact us to request more information about relevant safeguards.
6. Retention
We keep account and club information while your account is active and for a reasonable period afterwards to handle disputes, security, backups and legal obligations. We keep moderation and security records only as long as reasonably necessary. Uploaded images are kept while submitted or approved, and may remain briefly in backups or caches after removal. We review retention periods periodically.
7. Your rights
Subject to legal limits, you may ask for access to, correction of, deletion of, or restriction of your personal data, and may object to processing or request portability where applicable. Where processing relies on consent, you may withdraw it at any time. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint. Contact us first so we can try to resolve your concern.
8. Cookies and similar technology
The service may use essential authentication, security and session technology. We do not use non-essential advertising cookies in this manager. Third-party authentication and integrations may set or access their own technology under their own policies.
9. Children
The service is not directed at children. Do not create an account or submit another person's information unless you are permitted to do so. If you believe a child has provided personal data, contact us so we can review and delete it where appropriate.

We may update this policy when our processing, integrations or legal obligations change. We will publish the updated version here and update the date above.
